Overview

A Campground Master import requires the following steps.

  1. Set up a folder for the site.

  2. Send export instructions to site.

  3. Format transactions.

  4. Format reservations.

  5. Merge transactions with reservations.

  6. Format Guests.

  7. Merge guests with reservations.

  8. Import reservations.

  9. Import remaining guests.

Specifics for each step are described below.

Setup

Create a folder for the property in Sales > Account Manager > Reservation Imports. 

Save all relevant information here.

Send export instructions to site

Campground master is a desktop product, so we do not have access to the site's information.

Send CampgroundMasterExports (PDFversion) to site.

Have site follow instructions and send us back resulting files: Reservations, Guests, Transactions.

Format transactions

Simplify Category names to four groups: Charges, Payments, Discounts, UNUSED.

Charges: rent types, retail items, taxes.

Payments: payments, refunds.

Discounts: discounts, credits.

UNUSED: deposits, deposits applied, memos, print memos, etc.

Create a pivot table from transaction data.

Deselect unneeded columns/rows, leaving only Confirmation #, Category, Total.

Copy/paste pivot table to separate sheet.

Format reservations

Sort by Status.

Delete unneeded status rows. Typically, keep Checked In/Out, Confirmed, Pending, (Inquiry?)

You can, if you want, create a Departure Date column (Departure = Last Night + 1).

Sort by Confirmation #.

Merge transactions with reservations

Use DataFormats, Merge Data worksheet.

Make sure both files are sorted by Confirmation #.

Charges, Payments, & Discounts are now matched with correct reservations on left

Copy Charges, Payments, & Discounts to Reservations file.

Format guests

This step is probably not needed. Guest file should be fine, as is.

Merge guests with reservations

Use ResGuestMerge, A worksheet.

Sort Guests file by Last Name, First Name. Copy to right side of A worksheet.

Sort Reservations file by Last Name, First Name. Copy to left side of A worksheet.

Import reservations

Use ResGuestMerge, R worksheet. (Each reservation imported will also create a guest record.)

Copy the R worksheet. Paste as values to the temporary Excel file.

Note that you'll need to copy information to a separate, one-sheet Excel file.*

Delete unneeded rows.

Do one year at a time, starting with the most current year(s).

Import remaining guests

Use ResGuestMerge, G worksheet. (These are guests that do not have reservations.)

Copy the G worksheet. Paste as values to the temporary Excel file.

Note that you'll need to copy information to a separate, one-sheet Excel file.*

Delete unneeded rows.

Do a guest import for the remaining guests.

Notes

When editing this document, SAVE, or your changes will be lost. DO NOT PUBLISH.

“Paste” always refers to “paste values” (Paste 123).

*Import program only works with a one-sheet Excel workbook.
