OVERVIEW: READ ME FIRST

  • Important: When editing this document, SAVE, or your changes will be lost.
  • Important. "Paste" always means "paste as values."  
  • A Rezo import requires the following steps.
    1. Set up a folder for the site.
    2. Get reservations.
    3. Get guests.
    4. Import reservations.
    5. Import guests.
  • Specifics for each step are described below.


1. Setup

  • Resources: https://my.rezovation.com/.
  • Sales > Account Manager > Reservation Imports
  • Steps
    • Create a folder for the property in Sales > Account Manager > Reservation Imports. Save all relevant information here.
    • Get login information from owner.

    • Go to https://my.rezovation.com/. Log in to the site's Rezo account.

2. Get Reservations

  • Resources: https://my.rezovation.com/.
  • Sales > Account Manager > Reservation Imports
  • In Rezo, create XML file of reservations.
    • Reports & Documents > Reservations > Arrival Status.
    • Report Template: Standard.

    • Date Range: Enter date range.

    • Status Filters: Arrivals only.
    • Sort By: Room.
    • Create Report (orange button in top-right corner).
    • Page Layout > Orientation: Portrait or Landscape.
    • Optional: Add columns and insert fields. Usually, we do this to pull guest/reservation notes (cNotes, sNotes). 
    • Optional: Delete the Totals row before creating the report. It's not used for imports.
    • Home > Save As > Word XML Document (*.xml) > Download.
  • Save XML file as a Word doc.
    • Right click on the XML file > open with Word > save as Word doc.
  • Copy Word doc information to a temporary Excel worksheet.
    • Remove Rezo main-header information (Rezo logo, etc.).
    • If you added guest/reservation notes (cNotes, sNotes), replace manual line breaks (^l) with commas+spaces  (", "). If you don't know how to do this, ask.
    • Copy/paste the remaining table to Temp worksheet.
  • Format reservations in Temp worksheet.

    • Delete date rows.
      • Find "Monday," (Ctrl-F).
      • Click Find All > select all (Ctrl-A).
      • Home > Delete > Delete sheet rows.
      • Repeat a-c for each day of the week.
    • Delete inital blank rows (usually, rows 1-2) so that first row is Guest Name, Confirmation#, etc. A1 will contain "Guest Name."
    • Delete other unneeded rows.
      • Select all.
      • Data > Sort > My data has headers > Sort by Confirmation# > OK.
      • Delete all rows that are not reservations ("Guest Name" rows, "Total" rows, etc.).
    • Split guest name into last name and first name. (Use DataFormats to do this.)
    • Sort Temp worksheet by Last Name, First Name.
    • Match room IDs or room names to what site actually has in our system. (Multiple rooms are treated as group reservations.)
  • Move Temp worksheet info to ResGuestMerge workbook.


3. Get Guests

  • In Rezo, create a CSV file of guests.
    • Select Guests.
    • Export to CSV.
  • Save CSV file.  (Not really necesssary, but it can't hurt.)

  • Copy CSV information to a temporary Excel worksheet.
  • Format guests in Temp worksheet, if needed.
  • Move Temp worksheet info to ResGuestMerge workbook.



4. Import Reservations

  • Use ResGuestMerge, R worksheet.
  • Note that you'll need to copy information to a separate, one-sheet Excel file. (Import program only works with a one-sheet file.)

  • Do one year at a time, starting with the most current year(s).



5. Import Remaining Guests

  • Use ReseGuestMerge, G worksheet.
    • Copy the Guests worksheet. Paste as values to the temporary Excel file.
  • Note that you'll need to copy information to a separate, one-sheet Excel file. (Import program only works with a one-sheet file.)

  • Do a guest import for the remaining guests.
